Welcome to The Affinity Project – Coaching and Mentoring (“we”, “us”, “our”).
These Terms and Conditions (“Terms”) outline the agreement between you (“the participant”, “you”) and The Affinity Project when purchasing or taking part in any of our programmes, courses, or coaching services. Please read them carefully before making a booking or payment.
1. About The Affinity Project
The Affinity Project – Coaching and Mentoring offers educational and developmental services, including group coaching programmes (such as Phase One) and 1-to-1 coaching and mentoring sessions.
Our work supports personal growth, self-awareness, and emotional development. It is not a form of therapy, counselling, or medical treatment.
2. Agreement to Terms
By purchasing, enrolling in, or attending any of our services, you confirm that you:
- Have read and understood these Terms.
- Are over 18 years old (or have parental consent if under 18).
- Agree to participate respectfully and in line with the guidelines and boundaries set out in the programme or coaching agreement.
3. Programme Participation
Phase One is a structured group coaching experience with a defined start and end date.
Each cohort has limited spaces, and preparation work (including access to course materials and online spaces) begins before the start date.
Once you have been accepted and confirmed your place, you are committing to the full duration of the programme.
4. 1-to-1 Coaching and Mentoring
1-to-1 sessions are booked in advance.
You may reschedule a session once, with a minimum of 24 hours’ notice.
Cancellations or changes made with less than 24 hours’ notice — or repeat rescheduling — will result in the session being forfeited and still charged in full.
Unused sessions must be taken within the timeframe agreed at the point of purchase and cannot be carried forward indefinitely.
5. Payments and Refunds
Payment is required in full (or via an agreed instalment plan) before participation begins.
You are entitled to a 14-day cooling-off period from the date of purchase, in line with UK consumer law.
However, if your programme begins within that 14-day period, or if you are within two weeks of your allocated cohort start date, this right no longer applies.
After that point, all payments become non-refundable, as your place has been confirmed and resources allocated.
If you choose to withdraw after the programme has started, no refunds or partial refunds will be given.
6. Health, Wellbeing and Responsibility
Our programmes and coaching are designed for personal development and education, not as a substitute for therapy or medical treatment.
You are responsible for your own wellbeing throughout the process and should seek professional support if you have concerns about your mental or physical health.
If at any point we believe that participation or continued coaching is not appropriate, safe, or in your best interests, we reserve the right to pause or end your involvement and, where suitable, recommend alternative forms of support.
7. Conduct and Participation
We ask all participants to contribute to a respectful, inclusive, and safe environment.
Any form of discrimination, harassment, or harmful behaviour towards facilitators or other participants will not be tolerated and may result in immediate removal from the programme without refund.
You agree not to share, copy, or reproduce any part of the course materials, recordings, or community discussions without permission.
8. Confidentiality
Confidentiality is a central part of our work.
Personal information shared within coaching sessions or group spaces will remain private and will not be disclosed outside the programme, except where there is a legal or safeguarding obligation to do so.
9. Data Protection
We handle all personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Your information is collected solely for the purpose of delivering our services and maintaining contact with you during and after the programme.
We will never sell or share your information with third parties for marketing purposes.
We may share limited data (such as your name or email address) with trusted service providers who help us deliver our work — for example, secure video platforms or payment processors — and only where necessary to provide the service.
You have the right to access, amend, or request deletion of your personal data at any time by contacting info@theaffinityproject.co.uk.

10. Intellectual Property
All written materials, scripts, videos, images, and resources provided by The Affinity Project are protected by copyright and remain the intellectual property of The Affinity Project – Coaching and Mentoring.
You may use these materials for your own personal learning only. They may not be copied, shared, or distributed without written consent.
11. Changes to Services and Terms
We may make reasonable adjustments to programme content, facilitators, or delivery methods if required to maintain the quality and continuity of our services.
Any significant changes will be communicated clearly and as early as possible.
These Terms will be reviewed and updated as new products or services (such as retreats or future phases of the programme) are introduced.
The most recent version will always be available on our website.
12. Limitation of Liability
We take all reasonable care in the preparation and delivery of our programmes and coaching. However, we cannot guarantee specific outcomes or results.
Except in cases of negligence or breach of statutory duty, our total liability to you will not exceed the total amount paid for the service in question.
We cannot be held responsible for loss, damage, or injury arising from your own actions, decisions, or circumstances beyond our reasonable control.
13. Governing Law
These Terms and any disputes arising under them shall be governed by and construed in accordance with the laws of England and Wales.
Both parties agree to submit to the exclusive jurisdiction of the courts of England and Wales.
